OUTREACH + WORKFLOW AUTOMATION
Partnership outreach with a clear next step
At ReadyCrate, partnership outreach has to fit around running the business. I built a workflow that prepares the research and drafts, connects Airtable with Gmail, and shows me who needs a follow-up. I handle the conversations myself.

queue for the next action
Research, drafts, conversation status, and follow-up dates together in Airtable.
send and reply checks
Actual Gmail activity keeps the follow-up history current.

control of every send
I review and send the email myself, and handle replies personally.
The problem
ReadyCrate rents reusable moving totes in Kansas City. Partnership outreach means researching local businesses, writing relevant messages, and following up while I’m also running the company.
I needed one place to see who to contact and what had happened, with the preparation ready for me to review. I wanted to keep the actual conversations with me.
THE WORKFLOW
From a prospect to the next conversation.
Research the fit
Check the business, its contact route, and the existing relationship before preparing outreach.
Prepare the next action
Keep the status in Airtable and place eligible email drafts in Gmail without sending them.
Review and send
I choose the message, make any edits, send it myself, and handle the conversation.
Check what happened
Verify sends and replies, update the record, and prepare a follow-up only when it is due.
More about the Airtable and Gmail build
Airtable holds the prospect, why they fit, the contact route, prepared copy, status, and follow-up date. Weekly research checks public sources and the existing pipeline before adding prospects or preparing messages.
The Gmail connection creates unsent drafts and stores their draft and thread details in Airtable. It checks for existing drafts first. Phone and Instagram actions stay in the queue for me to complete and record.
Daily checks match actual sends and replies to the right record. Follow-ups are prepared only when due. Paused contacts stay paused, and uncertain thread matches are held for review.
What changed
- Research, drafts, and conversation history are together in one queue, with the next action visible.
- The October 2, 2026 run checked 59 live Airtable records and prepared seven due, unsent realtor drafts. It also held a follow-up with a thread mismatch for review.
- Verified sends and replies keep the record current. I choose the message, send it myself, and handle the conversation.
QUESTIONS ABOUT THE BUILD
The details that matter.
Where the tools connect, what runs automatically, and what stays with me.
01Does this outreach workflow send emails automatically?
No. It prepares unsent Gmail drafts for me to review. I send the email myself and handle replies. Research, draft preparation, and record updates run around those human decisions.
02What does Airtable do, and what does Gmail do?
Airtable holds the prospect record, status, prepared copy, and next action. Gmail holds the email draft and the actual conversation. The workflow connects them and checks real sends and replies before updating the record.
03How does it avoid duplicate outreach and premature follow-ups?
It checks the current prospect history, paused contacts, existing drafts, and thread details before preparing work. Email follow-ups are prepared only when due. An unclear thread match is held for review; non-email actions need a manual record of what happened.
04Could this work with my business’s tools?
The approach can fit other outreach and follow-up processes. I first check your tools, contact data, and how the work actually happens. The build depends on what those tools allow and which decisions your team needs to keep.
FOR YOUR BUSINESS
Does follow-up depend on you remembering it?
If your follow-up lives in a spreadsheet and an inbox, I can help connect the pieces. In a free 20-minute conversation, we’ll look at what gets missed and whether a workflow like this would help.
