The situation
A Kansas City multi-location retail and hospitality group manages 19 Google Business Profiles, each collecting reviews at a different pace.
Consistent replies required someone to remember to monitor every profile, read each review, write an appropriate response, and publish it. The work had no practical owner, so reviews across the portfolio received virtually no replies.
The build
An automated pipeline now monitors all 19 profiles, drafts a contextual response based on the review and location, and emails the proposed reply to a designated approver.
The approver reads the response and approves it with one click. One person currently handles the entire portfolio, while the workflow can support additional approvers when needed.
Human review is deliberate. The system removes monitoring, drafting, and publishing labor while keeping a person accountable for the final public response. Reviews requiring more than a reply can move into a customer-service follow-up path.
The results
- 350 reviews received and 350 replies published since launch.

- Most replies are read and approved in 10–20 seconds; even a slight edit typically keeps human attention under one minute.

Why it matters
This did not replace a functioning manual process. It created a customer-response standard that the business could not previously maintain without adding a recurring staffing burden.
The work is frequent and pattern-rich, but its public stakes still call for human judgment. Automation handles the repetition; a person retains control.
